Pricing, Payment & Cancellation Policy

A reservation is not secure until such time as a deposit has been received, followed by a properly formatted booking confirmation sent by Blueberry Hill. Blueberry Hill reserves the right to cancel such reservations, prior to the deposit being received and confirmation being sent out, without prior notice.

A 50% non-refundable deposit is payable for all bookings; the date by which deposits are to be paid depends on the Guests arrival date. As a guide deposit should be received within ten (10) days from date the reservation is made, where Guests are due to arrive more than 8 weeks from the date the reservation is made. For reservations, where Guests are due to arrive within less than 8 weeks; the deposit must be paid and received within five (5) working days. The balance is due when Guests checkout.

Payments can be made either via a direct wire transfer instruction or internet transfer in South African Rand, net of bank charges. All bank charges are for the remitters account.

A copy of the bank draft/transfer or deposit slip should be emailed to email to blueberryhillcottages@gmail.com. It is the Guest’s responsibility to ensure that the fax has been received.

Failure to notify us of the required details may result in the release of the cottages held, as we will be unable to trace your booking and process the payment.

Please quote the full name and surname of the person in whose name the reservation was made; this is to appear in all correspondence. Payments made by credit card are subject to a 6% surcharge. We require proof of identification, in the form of a South African Identity Book or Passport, for any payments made by credit or debit cards.

Cancellation Fees

Cancellations must be received in writing via email to blueberryhillcottages@gmail.com. Cancellation fees will be levied in the event of cancellation and in accordance with the reservation terms and conditions of Blueberry Hill Cottages.

The following cancellation fees will be applied should a booking be cancelled within the following period: 4 weeks prior to arrival 100% of total accommodation

We would suggest that you are covered by a travel insurance policy in the event of an unforeseen cancellation.

Rates displayed on Blueberry Hill Cottages website; third-party websites; advertisements whether electronic or printed serve as a guide and are subject to change without prior notice.

Our rates are on a per person per night basis, therefore the total number of persons to occupy the premises must be clearly stated in your booking. It should clearly show the number of adults AND the number of children (18 years and over are regarded as adults) and these persons shall be herein referred to as the Guests.

Maximum occupancy must be adhered to at all times and includes children of all ages. The full rate is charged for children irrespective of their age.

Should the maximum occupancy be exceeded, Guests will be asked to leave/vacate the premises immediately and the Guests will not be entitled to a refund. If Guests are excessively noisy or act in a manner that is unacceptable to other Guests and the Manager, one warning will be given. Should the situation continue, they would be asked to leave immediately and required to make payment of the remainder of their bill as though they are checking out. They would not be entitled to a discount for any lost days or time. If Guests are abusive or threaten other Guests, staff of Blueberry Hill, they will be asked to leave immediately, and full payment will be required. Failure to do this will result in the Police being called.

The accommodation is for the Guest and those persons detailed on the Booking Form and no other persons or visitors are permitted to stay over in the cottages.

Breakages Deposit

Blueberry Hill Estate reserves the right to request a breakages deposit be paid prior to arrival; this will be refunded within 10 days of your departure, should the Manager of Blueberry Hill find the cottage and contents in a satisfactory state after your departure. The breakages deposit amount is at the discretion of the owners of Blueberry Hill cottages.

Neither the Owner nor the Manager of the Blueberry Hill shall be held responsible for any breakage, loss or damage to belongings and/or property of the Guests. Furthermore, neither the owner nor the Manager of the Blueberry Hill shall be held responsible for any injury to and/or accident sustained by the Guests at / in the cottages whatsoever.

In cases where a breakages deposit has not be taken; should the Manager of Blueberry Hill find anything within the cottage that has been damaged or broken; soft furnishings and carpets being soiled; the Guest agrees that the cost of cleaning, repair or replacement will be billed and due for payment within 5 days of being sent to the Guest on the email address provided at the time of booking. The Guest agrees that this will be deemed fair and necessary, and make no dispute.

Check in time and Check out

Blueberry Hill is a boutique working Estate; therefore we request that Guests check in between 14:00 and 16:00. Where this may not be possible, special arrangements can be made with the Manager of Blueberry Hill; however check in must take place before 18:00, unless agreed prior to the date of arrival. Any late arrivals may be subject to a late arrival fee of R150 per hour or part thereof, at the discretion of the Manager or Owners of Blueberry Hill.

Guests must have vacated the cottage, and removed all personal belongings by the latest 10:00 on the morning of departure. Failure to do so may be subject to a fee of R150 per hour or part thereof, at the discretion of the Manager or Owners of Blueberry Hill. Additional staff may need to be brought in to prepare the cottage, in time for the next set of Guests.

If the keys are lost a charge of R1000 will be added to the Guest’s bill for the replacement of the locks in the cottage, to ensure the safety of future Guests. This will be done after the Guests check out. If the keys are not returned, a charge of R1000 will be added to the Guest’s bill. No reduction or refund shall be made to the Guest against late arrival or early departure, nor for any other reason whatsoever which may cause the Guest to shorten or cancel the period of his booking.

Children

While children are welcome at Blueberry Hill, we cannot guarantee that this is a child friendly environment; in particular on the verandas and around the pool as there are no rails or fences. Children under the age of 18 years are not to enter the pool area or make use of the pool, unless accompanied by a parent or adult over the age of 21 years. It is recommended that Children not be left to wander around the Estate unaccompanied.

To preserve the peace and tranquillity of Blueberry Hill for all our Guests, we ask that children be kept under control and noise is kept to a minimum Children remain the responsibility of their parents or adults accompanying them. Blueberry Hill is not responsible for any injuries, losses, or deaths whilst on the Estate.

Smoking

NO SMOKING - Smoking is not permitted inside the cottages.

Pets

No pets are allowed in the cottages.

Additional Services

The Guest acknowledges that should they require Domestic Help for the duration of the booking then this requirement must be booked & paid for, where necessary, in advance.

Optional extra services are payable on arrival. Should additional services be requested, these are payable at the time requested. Service @ R195.00 per service. Service includes cleaning of unit, washing of dishes and making of beds.

Service does not include any washing or cleaning of clothes, carpets, linen, duvet covers, comforters & blankets.

Service can be arranged for Saturdays, Sundays & Public Holidays; however this is at a rate of R390 per service.

Whilst it is appreciated that the Guest is on holiday it is expected that the bathrooms and kitchen areas are kept hygienically clean and tidy at all times.

Should Guests or children soil the bedding; the bedding will be changed at a service fee of R400.00, which also covers the additional laundry costs. Should this occur between the hours of 17:00 and 08:00, an additional fee of R150 will be charged. If the bedding is soiled beyond means of cleaning then the Guest is responsible for either/both the replacement of the linen and the damaged mattress.

Inventory of the contents of Cottages

An Inventory of furnishings and equipment is available; and the Guests agree to undertake to check the Inventory upon arrival. The Guest is to report any discrepancy between the Inventory and what he finds in the cottage within 4 hours of taking up occupancy. The absence of such a report will be taken as the Guest’s acceptance that the Inventory is correct and all items are in order.

The Guest acknowledges that any property items supplied in the cottage are not to be taken away for use outside of the cottage and, therefore, may not be taken off the property.

Tea, coffee and sugar

This is supplied for the Guests’ convenience when they arrive at the cottages, as this is self-catering, Guests would need to purchase their own tea, coffee and sugar should they finish what has been provided initially by the Estate.

Insurance

Blueberry Hill Cottages does have third party liability insurance in the event of an accident within the property, however, it is a condition of booking that the Guests have comprehensive travel and medical insurance to cover themselves for the duration of their trip. This insurance should include cover in respect of, but not limited to, the following eventualities:

  1. Cancellation and curtailment

  2. Emergency evacuation expenses

  3. Medical expenses

  4. Repatriation expenses

  5. Damage/theft/loss of personal baggage, money and goods

Error & Omissions Excepted

While all caution is taken to make sure that all content within these Terms & Conditions and our website is correct, complete, relevant and true, errors may occur. In the event of such errors occurring, we will correct the information that is incorrect, incomplete, irrelevant and untrue as soon as detected. We apologise for any inconvenience caused by this. We cannot, however, always offer you the service at the advertised price in the event of an error.
